Wiltshire County Council Streamlines Information with TOWER Software
Wiltshire County Council installs TRIM Context Electronic Document and Records Management (EDRM) system to make cost savings and streamline processes
Wokingham, Berkshire – 6 February 2007 – Wiltshire County Council is to use the TRIM Context EDRM system from TOWER Software to improve efficiency and corporate decision making, avoid duplication and to help support flexible working practices. Initially deployed to the Authority’s 55-strong Human Resources Team in 2006, as part of a larger change programme, the system is also expected to improve service to citizens and derive cost savings through efficient processes and a reduction in physical storage space. It is anticipated that it will eventually be rolled-out to a significant number of staff across the Authority.
Peter McSweeney, EDRMS Project Manager at Wiltshire County Council explains, “TRIM Context provides a robust mechanism for getting the right information to the right people, at the right time. This is particularly critical for those within the Authority dealing with sensitive material. It will also prove to be an important tool in managing our document retention schedules with more ease and accuracy.”
The system already holds more than 60,000 records including images and letters, and the next phase will see TRIM Context extended to a further 85 users within the Authority’s Planning Service, as well as to its Pay Reform Team. It will also replace the existing Highways Development Control imaging system, and support the publishing of some information on the Wiltshire County Council web site, such as planning applications.
Tony Sumpster, Managing Director for TOWER Software, EMEA added, “The HR Team at Wiltshire is now scanning incoming post in order to move further away from dependency on paper. This will save a significant amount of physical storage space, and therefore cost. The Authority will also be well placed to eliminate some older technologies such as fiche.”
The system configuration was carried out by TOWER Software’s Professional Services Team, under contract to WCC, on which the Authority relied heavily for depth of understanding of TRIM and support of TRIM users. The Council aims to have completed its skills transfer by early April 2007.
TRIM Context was selected for its persuasive functionality/cost ratio, following a tender process that had originally examined over 30 products and vendors.
