Workflow
TRIM Context 6’s workflow has a human centric design. This means that rather than orchestrating business processes that span multiple software applications it is aimed at business processes that involve people who process information.
Setting up Workflows
A graphical workflow editor is available to create ad-hoc workflows to track a single process or to create templates for processes that will need to be tracked over and over again. The workflow editor shows individual activities in flowchart-like boxes connected by lines that depict the process flow. The process flow can include:
- Sequential activities
- Parallel activities
- Decision branching
- Looping
Initiating Workflows
Workflows can be initiated through a separate option in the TRIM Context 6 desktop clients or they can be initiated as part of the registration of a document or record. The user will be prompted to create an ad-hoc workflow, which will automatically invoke the editor, or they will be asked to select a workflow template from which a new instance of the process will be created. Workflows can also be initiated automatically based on the type of document that is registered in TRIM Context 6. For example the registration of a leave form could automatically initiate the leave form workflow process.
Tracking Processes
Each information worker who is responsible for an activity in the workflow process will be notified by email and also through a Tray in their TRIM Desktop client. Processing of activities is guided through a simple completion wizard that presents the user with all the information that they have to complete.
Document Integration:
Workflow processing is tightly integrated with the document management functionality of TRIM Context 6. Workflow activities can:
- initiate document creation;
- initiate document revision;
- present documents for reference.
This completes the loop between documents initiating processes and processes initiating document creation. An example is where the registration of a complaint letter automatically initiates a workflow process that in turn initiates the production of an investigation report and a response letter.
