The Vale of Glamorgan Council Selects TOWER Software for Information Management

The Vale of Glamorgan Council has selected TRIM Context electronic document and records management (EDRM) software from TOWER Software as the backbone of a new corporate enterprise content management (ECM) system for its 1,600 users. Following a tender process using the Official Journal of the European Union (OJEU), the Wokingham-based company was appointed for its 24-year credentials in providing software tailored around local authority requirements. 

David Oates, VP for EMEA at TOWER Software says, “The Vale of Glamorgan Council is seeking to improve its information management practices with the deployment of TRIM Context to 1,600 users based across a number of Council sites. Part of the Authority’s “OneVale Programme”, the system will support its goal of business transformation across all Council services through the implementation of innovative technologies and processes. By creating a culture of collaboration and a focus on customer service, The Vale of Glamorgan aims to improve the accessibility of services and reduce revenue expenditure.”

The rising popularity of computers and associated tools has led us further away from print and a traditional records management culture. As a consequence, multiple files and databases are necessary to run our business efficiently and effectively. TRIM Context will allow Council employees to find the information they’re looking for far more easily and derive intelligence from it. The system will also ensure additional efficiencies and cost savings over the coming years. Furthermore, it will help us handle the Freedom of Information enquiries we receive.  Ensuring security of information has been a top priority and all necessary safeguards are being implemented.”

TRIM Context was selected following a full comparison against other products as well as the The National Archives (TNA) standards. According to the Vale of Glamorgan Council, it was considered the most user friendly system for staff to use when completing their daily tasks. TRIM Context will enable the Council to improve the accuracy of information on which business decisions are made; maximise efficiency by finding and delivering business critical information quickly and easily; and achieve and maintain standards compliance and best practices across industries.

The Council is set to commence the roll out of the new solution early in 2008.  Completion of roll-out to all Council services, including workflow and systems integration, is scheduled for the last quarter of 2010.  This will also ensure greater accuracy of information held by the council, and that the information can now be shared between all service areas. The system will be implemented and administered by Council staff.
