Overview of Correspondence Management
Correspondence Management allows organizations to capture, assign, share and retain information about correspondence received and sent. This provides a rich history of corporate communications by preserving all of the information which pertains to communications of documents, as well as the documents themselves, and allows for some very powerful information to be maintained on how documents are used and to whom they are communicated. For example, because the concept of a communication does not have a one to one relationship with a document, it is possible to determine a list of people to whom a document was sent over many separate occasions. The auditing advantages of this kind of information are obvious. A company seeking to determine who outside the company had seen certain in confidence material contained in a document, would have an easy way to determine to whom, when, and by whom that document was sent out of the company. This brings substantial value to companies for which the management of correspondence and intellectual property is important.
In addition TRIM Context 6 will include a new Mail Communications module, intended to provide an integrated solution for tracking of communications within a sophisticated enterprise content management system. TRIM Context 6 addresses the unique challenges of tracking communications without a one to one relationship between documents, communications and location by extending its metadata intelligently.
